Requesting copies of material

Once you have searched the collection, you may request a copy of one or more items.  To do this, contact the Audiovisual Access Unit by email or fax (02) 6261 4281.  If you are unsure of which details to quote, email or phone the Audiovisual Access Unit on (02) 6261 4212. 

 

Most of the material held in the Audiovisual Archive is not owned by AIATSIS.  For this reason, it is often necessary to obtain permission from third parties before material can be copied.  Additionally, if the material is to be published, we require that the relevant Indigenous individual/family/community be consulted.  AIATSIS cannot guarantee that all materials will be made available to all clients, or that permission will be received within a set timeframe.  For more information on obtaining permissions, please refer to our Access Policy. 

What happens when I make a request?

1. We will check your request to make sure we have all the necessary details.  You will be contacted if more information is required.

 

2. We will send you an indemnity form to sign, which lists the items requested and your intended use.  If you would like to receive the materials for free under the ROMTIC Program, please state your family or cultural affiliation with the material on the indemnity form.

 

3. You will be provided with a permission form to forward to the relevant copyright owners and/or Indigenous cultural owners.   Waiting times can vary, depending on the availability of the relevant copyright owners and/or Indigenous cultural owners, and their level of support for your intended use of the material.  

 

4. Unless you are obtaining material under the ROMTIC Program, you will be asked to complete a prepayment form. The cost will be calculated based on our schedule of fees

 

5. Once prepayment has been received or the ROMTIC allowance has been approved, we will forward your request to the relevant technical area for copying.  We give you an approximate date that the material will be sent out (between 2 and 6 weeks).
